Practice Policies

WELCOME TO INTEMPO PSYCHIATRY!

We’re glad you’re here, and we want your experience at Intempo Psychiatry to be clear, supportive, and organized from the start. The following policies are designed to help set expectations, answer common questions, and ensure that care is delivered safely and consistently. Please review them so you know what to expect while working with us.

  • Business hours are Monday through Friday, 9:00 a.m. to 5:00 p.m.

While providers may occasionally respond outside of these hours, communication should typically be expected during business hours only.

If you are experiencing a medical or psychiatric emergency at any time, please call 911 or go to the nearest emergency room.

  • Before beginning care, all new patients complete a brief consultation call. This allows us to determine whether our services are an appropriate fit for your needs.

Completion of the consultation does not establish a provider–patient relationship or guarantee acceptance into the practice.

  • Whenever possible, we encourage intake appointments to be completed in person, as this can help us form a stronger clinical foundation. Exceptions may be made on a case-by-case basis.

All ongoing appointments should be scheduled through the patient portal or at the conclusion of your visit. Please double-check whether your appointment is scheduled in-person or virtual.

  • Payment is due at the time of service. A card must be kept on file and will be charged automatically unless another payment method is arranged in advance. We accept credit, debit, cash, check, and HSA/FSA cards.

If payment does not process successfully, future appointments will be paused until the balance is resolved. For patients with recurring appointments scheduled, appointments may be canceled if prior balances remain unpaid 24 hours before the next visit.

  • Appointment frequency is based on clinical need and may change over time.

To remain active in the practice, patients must be seen at least once every six months unless otherwise discussed with their provider.

  • Discussions about treatment – including new medications, dose adjustments, or significant concerns – are best handled during scheduled appointments.

Medication changes will not be made by text or email unless previously arranged with your provider.

Requests requiring work outside of normal visits (such as forms, letters, or unscheduled urgent communication) may incur additional fee-for-service charges.

  • Please contact your pharmacy first for refill requests between appointments. Pharmacies can often process the request directly or notify us if provider approval is needed.

Intempo Psychiatry prescribes controlled medications when clinically appropriate. Early refills cannot be provided without prior discussion and provider approval.

  • Appointments canceled with less than one full business day’s notice – or missed without notice – will be charged the full fee for the scheduled visit, as outlined in our fee schedule.

A 15-minute grace period is provided before an appointment is marked as a no-show. If an unexpected emergency arises, please let us know – we will do our best to be flexible when appropriate.

Note: Monday appointments must be canceled by the previous Friday.
